Who we are
Friendly Finances provides financial planning, insurance, accounting, and tax services to individuals and businesses in Mississauga and across Canada. This policy explains how we handle personal information collected through this website and in the course of working with you. We follow the Personal Information Protection and Electronic Documents Act (PIPEDA).
What we collect
We only collect information you choose to give us, or that we need to provide a service you have asked for. This may include:
- Contact details — your name, email address, and (optionally) phone number when you send a request through this website.
- Request details — the topic you choose, your province or territory, and any note you add. For agent and career requests, this also includes your licence status, current business environment, main question and timeline. We do not ask for licence numbers, production figures or client records.
- Booking records — the appointment time you choose, any changes or cancellation, and whether you asked us to stop follow-up.
- Financial information — such as income, employment, savings and registered accounts (RRSP, TFSA, FHSA), debts, insurance coverage, and goals, when you share them for a financial review.
- Tax information — such as your Social Insurance Number, slips, receipts, and business records, when you engage us to prepare a personal (T1) or corporate (T2) return or related filings.
- Comparison worksheet — nothing. Answers you type into the agent comparison worksheet stay in your browser. They are not sent to us or saved; refreshing or closing the page clears them.
This website does not use its own analytics or advertising cookies. Our private review dashboard uses one essential sign-in cookie for our team only. The site loads some content from third parties — Google Fonts, cdnjs (icons), and Unsplash (images). These providers may receive technical information such as your IP address and browser type when the page loads, under their own privacy policies.
How we use it
- To schedule and prepare for your consultation or financial review.
- To recommend financial, insurance, or investment solutions suited to your situation.
- To prepare and file tax returns and other filings you have asked us to complete.
- To respond to your questions and follow up on services you requested.
- To meet our legal, regulatory, and professional obligations.
We do not sell, rent, or trade your personal information.
Requests and booking
When you send a request, a member of our team reviews it. If a conversation is a good fit, we email you a private booking link. With that link you can choose one of our available times, reschedule, cancel, or stop all follow-up (which also cancels any appointment). Keep the link private — anyone who has it can manage your appointment.
We prepare emails related to your request — such as a confirmation, reminders before your appointment, and a follow-up on the next step you agreed to — and send them ourselves from our business email. We do not add you to a newsletter or marketing list.
Consent
By ticking the consent box and sending a request through this website, you consent to us using it for the purposes described above. We will ask for your consent again before using your information for any new purpose. You may withdraw your consent at any time, subject to legal or contractual limits; doing so may affect our ability to provide a service.
Who we share it with
We share personal information only when needed to deliver the service you asked for, or when the law requires it. This may include:
- Service providers who host this website and store requests and booking records on our behalf (Netlify), under their own security and privacy commitments.
- Insurance carriers, investment dealers, and the firms we are licensed through, when you apply for a product or plan with our help.
- The Canada Revenue Agency and provincial authorities, when we file returns on your behalf.
- Regulators or law enforcement, when required by law.
Where it is stored
Requests and booking records sent through this website are stored with our hosting provider, Netlify, which may store and process them outside Canada, including in the United States. Other service providers may also store or process information outside Canada. When that happens, your information may be subject to the laws of that country.
How long we keep it
Requests sent through this website, together with their booking records, draft messages and activity history, are deleted automatically 30 days after the request was sent. A booking does not extend this period. If you become a client, we keep the information needed to serve you as part of your client file.
We keep personal information only as long as needed for the purposes it was collected for, or as long as required by law. Tax and financial records are generally kept for at least six years, in line with Canada Revenue Agency requirements. When information is no longer needed, we securely delete or destroy it.
How we protect it
We use reasonable physical, administrative, and technical safeguards to protect your information from loss, theft, and unauthorized access, including access controls and password-protected accounts. No method of transmission over the internet is completely secure, so please avoid sending sensitive documents (such as your SIN) by regular email.
Your rights
You have the right to:
- Ask what personal information we hold about you and request a copy.
- Ask us to correct information that is inaccurate or incomplete.
- Withdraw your consent, as described above.
We will respond to requests within 30 days. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada.
Changes to this policy
We may update this policy from time to time. The “Last updated” date at the top of this page shows when it last changed.
